Flexible Invoice Terms

There’s a whole host of new features in MIDAS v4.25. One area that’s had a big overhaul for this update is invoicing.

In this post we’ll look at the improvements we’re making in relation to invoicing terms.

In earlier versions of our software, you could set default Payment Terms – the number of days you allow your clients to pay their invoices before they’re deemed to be “overdue”.

We’re providing even more flexibility for v4.25 by allowing each invoice to have its own Payment Terms. By default, the global Payment Terms you’ve configured will be applied to new invoices, however, when manually creating or modifying an invoice, you may change this value specifically for that invoice:

Payment Terms are important, as they allow MIDAS to display due dates for your invoices. They also allow MIDAS to be able to send automated reminders to clients before their invoices are due to be paid, or overdue reminders for late payments.

Invoice Tax Improvements

There’s a whole host of new features in MIDAS v4.25. One area that’s had a big overhaul for this update is invoicing.

In this post we’ll look at some of the improvements in relation to tax handling on invoices.

In earlier versions of our software, you could set a tax rate which would apply to invoice total amounts. At the same time, we provided options to allow you to set individual clients as tax exempt.

We’re providing even more tax flexibility for v4.25, including:

Individual Venue Tax Rates

Each venue can have its own rate of tax applied to it. This allows you to set different tax rates for different venues.

Individual Resource Tax Rates

Each resource item can also have its own rate of tax applied to it. This allows you to set different tax rates for resources.

Per-Item Tax Rates

Whereas previously a single rate of tax was applied to an entire invoice, from v4.25, each line on an invoice can have its own tax rate. Each line on an invoice contains the following elements: Item Description, Item Quantity, Item Rate, Tax Rate, and Amount. The invoice summary section will show details of the tax amounts applied to the invoice total.

Toggle Amounts Display inc/ex Tax

Calculation of the values shown in the “Amount” is automatic based on quantity, rates, and tax of the line item. When creating or modifying an invoice, clicking on the “Amount” column header will toggle the display of amounts inclusive or exclusive of tax.

We’ve also added a “Show amounts excluding Tax?” admin setting to control the default display of amounts. This setting is located under MIDAS Admin Options → Manage MIDAS → Invoicing.

Set Tax Rates for Deposit and Cancellation Invoices

We’ve also added admin settings to allow specific tax rates to be applied to Deposit and Cancellation invoices respectively. Previously, these invoice types applied tax at the global tax rate you’d defined. Now they can each have their own unique rate.

Statistics and Reporting Improvements

We’re making some improvements to Statistics and Reporting for v4.25. These include…

Filter Options

To declutter the Statistics & Reporting screen, the display of filters – such as date range selection – can now be toggled. There’s a new “Filter” button at the top of Statistics screens:

Clicking this button will toggle the display of applicable filters for the current report:

Filter Venue Statistics By Booking Type

Previously, Venue Statistics report generation was for all venues, or for an individual venue. Now, it’s possible to further filter Venue Statistics by Booking Type too.

Identify Clients Who Are Also Users

When viewing Statistics for an individual client, MIDAS will now indicate whether that client also has a user account in the system.

Export Statistics

Since v4.18, it’s been possible to export Statistics and Reports in Excel format (.xlsx). This feature was available to all users who had access to the Statistics screen (via the “Can Use Statistics” User Permission).

As we’re introducing a dedicated “Can Import / Export” user permission for v4.25, the ability to export Statistics and Reports will now only be available to users who are allowed to export data.

Client Notification Improvements

We believe in giving your clients control over the automated email notifications and reminders they may receive from your MIDAS system. To that end, we’re making some improvements in this area for v4.25.

Improved Client Email Notification Settings

Previously, each client in MIDAS could be set to receive the following email notifications:

  • None – Client isn’t sent any automated reminders.
  • Bookings – Client is sent automated reminders about their upcoming bookings.
  • Invoices – Client is sent automated reminders about their upcoming invoices.
  • Bookings + Invoices – Client is sent automated reminders about their upcoming bookings and upcoming invoices.

Automated client email notification from your MIDAS system included an unsubscribe link. This allowed clients to opt out of receiving further automated notifications from your MIDAS system. Effectively, the client’s “E-Mail Reminders” setting reverts back to “None”.

For v4.25, we’re extending the automated client notification email options. These now include:

  • Bookings (Upcoming) – Client is sent automated reminders about their upcoming bookings.
  • Bookings (Recently Ended) – Client is sent automated follow-up emails after their bookings.
  • Invoices (Upcoming) – Client is sent automated reminders about their upcoming invoices.
  • Invoices (Overdue) – Client is sent automated reminders about their overdue invoices.

Clients can also unsubscribe from each notification type, rather than blanket unsubscribing from all notifications.

Easier For Clients To Unsubscribe From Notifications

MIDAS v4.25 now includes a “List-Unsubscribe” header in automated email notifications to your clients. This can make it even easier for them to opt-out of receiving further automated notifications from your MIDAS system.

Email software which support the “List-Unsubscribe” header may show a bar/banner at the top of emails, which users can click to opt-out of similar emails.
