If you’ve been following our recent posts, you’ll know that we’re introducing a whole host of new features for MIDAS v4.25. Many of the new and improved features in v4.25 relate to invoicing.

There’s a lot to take in, so we thought it would be useful to summarize the new and improved invoicing features of MIDAS, with links to posts with more information.

In addition to the above, there’s a handful of smaller invoicing improvements worth noting too:

Updating Finalized Invoices Now Allow Updating Visible Notes

Once an invoice is first printed, or emailed to the client, MIDAS considers the invoice “finalized”. The content of finalized invoices cannot then be changed. However, MIDAS does allow you to update the paid status of the invoice at any time. Additionally, you can also add internal notes at any time time. Internal notes are not visible to clients on actual invoices.

From v4.25 we’re now also allowing you to modify the “visible” notes section on invoices – even after they’ve been finalized!

Multiple Identical Items On Invoices Are Now Consolidated

MIDAS now consolidates identical items on invoices. For example, say you’re adding a booking across two venues (rooms), each of which requires a “CD Player” resource in it.

When invoicing for these bookings, MIDAS would previously list the two venues separately and the two resources separately.

Now, MIDAS will identify these instances and combine items accordingly. So now instead of having two lines on a invoice both for a “CD Player” and both with a quantity of 1, they’d be a single “CD Player” line with a quantity of 2.

Itemized Invoice Notes No Longer Include Empty Notes

The visible “Notes” section on invoices can be configured to be automatically populated with the content of a booking field. For instance, you could set the “Booking Notes” to automatically appear in the “Notes” section of the client’s invoice.

If multiple bookings appear on the same invoice, it could get confusing as to which booking the invoice notes relate to. That’s why we’ve previously provided an “Itemize Notes” option. When enabled, each item on the client’s invoice with an associated note is indicated with a reference number. This appears on the invoice line it relates to, and then also in the Notes section below.

If an item had no notes associated with it however, it would still be given a reference number. This could be just as confusing if none of the bookings had notes. You’d end up with a string of meaningless numbers in the Notes section, like [1] [2] [3] [4] [5]

We’ve sorted this out for v4.25! Now, only bookings with notes will be numerically referenced if the “Itemize Notes” option is enabled.

There’s a whole host of new features in MIDAS v4.25. One area that’s had a big overhaul for this update is invoicing. Combined with this, we’ve also overhauled the exporting capabilities of our software. You can now export invoice data to several popular 3rd party accounting packages.

MIDAS can export invoices to QuickBooks Online, Xero, Clear Books, and KashFlow.

In addition, you can also export Invoice Summaries to Sage Business Cloud, and QuickFile.

Exported data is tailored to each specific accounting package in CSV format, allowing for easy import.

We also provide some additional export options for applicable accounting packages. For example, to allow you to specify a ledger/account code, or to map a custom customer field in MIDAS to a customer reference field in your account package.

Plus, you can still export in previously available formats too. These include Excel, standard CSV (comma separated values), Tab-Delimited Text File, and XML formats.

We’ve improved these too, as they now also include each invoice’s Payment Terms, and therefore their Due Dates as well.

Statistics and Reporting Improvements

We’re making some improvements to Statistics and Reporting for v4.25. These include…

Filter Options

To de-clutter the Statistics & Reporting screen, the display of filters – such as date range selection – can now be toggled. There’s a new “Filter” button at the top of Statistics screens:

Clicking this button will toggle the display of applicable filters for the current report:

Filter Venue Statistics By Booking Type

Previously, Venue Statistics report generation was for all venues, or for an individual venue. Now, it’s possible to further filter Venue Statistics by Booking Type too.

Identify Clients Who Are Also Users

When viewing Statistics for an individual client, MIDAS will now indicate whether that client also has a user account in the system.

Export Statistics

Since v4.18, it’s been possible to export Statistics and Reports in Excel format (.xlsx). This feature was available to all users who had access to the Statistics screen (via the “Can Use Statistics” User Permission).

As we’re introducing a dedicated “Can Import / Export” user permission for v4.25, the ability to export Statistics and Reports will now only be available to users who are allowed to export data.

User Management Improvements

For v4.25, we’ve made a some improvements to user management. These include..

New “Can Search” Permission

We’ve added a new “Can Search” user permission allowing administrators to control which users can access the Search features within MIDAS.

New “Can Import / Export” Permission

We’ve also added a new “Can Import / Export” user permission allowing administrators to control which users can import and/or export data. As well as simple Yes/No options, this setting also includes “Export Only” and “Import Only” options too.

Re-Show The Quick Tour Upon A User’s Next Login

Re-enable the Quick Tour option on any user account. The next time the user logs in, they’ll presented with the option of a quick tour of the user interface. For more information please see this post.

Support For Users On Unstable Connections

One of the security features we built into MIDAS automatically logs out a user’s session if it detects their IP address has changed. As a result of the COVID-19 pandemic we found many more users were working remotely from home. Often their home internet connections were unstable, or their ISP’s were under heavy load as a result of increased demand. Consequently, some users were finding that their IP address was frequently changing. In some cases, this was happening every couple of minutes! Due to the security restrictions we built into our software, this meant they were being frequently logged out of their MIDAS system.

So for v4.25, we’ve introduced a new “User is on an unstable connection” setting. With this setting enabled on a give user account, MIDAS will ignore any IP address changes whilst the user is logged in. This means that even if their IP address changes, they will remain logged into MIDAS.

This setting, disabled by default, should only be temporarily enabled for users who are experiencing frequent log outs due to a fluctuating IP address.

Optionally Add New Users As Clients

Whenever an administrator adds a new user to their MIDAS system, a corresponding entry is automatically made in the client database for the individual. This is because it is generally assumed that there will be instances when a user adds a booking for themselves.

However, following customer feedback, we’ve now made automatically adding a new user as a client optional. Now, when a new user is added, an “Also add user as a client” box is shown. If this box is unselected, the new user will be added without an associated entry made in the client database.

Easily Toggle “View Access” settings

The “View Access” options allows an administrator to control which venue groups (and therefore venues) a user has access to. By default users have access to all venue groups, but there may be instances when you wish to restrict this. If you have a long list of venue groups, it can be tedious to manually check/uncheck lots of groups. As such we’ve added a way to “toggle” all currently selected groups. Simply click/tap on the “View Access” label, and all checked groups will become unchecked, and vice versa.
